Regrading via fixture upload

Regrading can be completed by the regrading wizard in the admin portal or via fixture upload. If you are changing the number of teams in a grade, the regrading wizard will change the fixture pattern used and your fixture can be impacted. Regrading via fixture upload allows you to make necessary changes without changing your entire fixture. 

Download Advanced Fixture Report 

If you do not already have a copy of your current fixture in the fixture upload template, download the advanced fixture report from the Reports section of PlayHQ. If you already have a copy of your fixture in the template, skip below to Update fixture to reflect changes. 

Download the fixture upload template

Select More and Fixture Upload. Download the CSV fixture template. Also download a copy of the XLXS Legend for this season.

Convert Advanced Fixture Report to Fixture Upload Template

Copy and paste the below fields out of the advanced fixture report into the fixture upload template. 

  • Home teams
  • Away teams 
  • Venue and playing surface 
  • Round 
  • Game date (can be pasted into both the game date and round date fields in the fixture upload template) 
  • Game time 
  • Grade 
  • Game type (cricket only) 

Add in additional fields to Fixture Upload Template 

Copy and paste the Organisation, Competition and Season from the fixture legend into the fixture upload template. 

Remove any finalised rounds 

If any rounds have been finalised, delete them from the file to be uploaded. For example, if regrading after Round 1, delete Round 1 from the file and only upload Round 2 onwards. 

Update the formatting of the file 

The formatting of the below fields will need to be updated in the fixture upload template before the file is ready to be uploaded 

  • Round - remove the word round and leave just the number 
  • Game type (cricket only) - Copy and paste the formatting from the fixture legend 
  • Round date (cricket only) - For any Two Day games in cricket, remove the second date in the round date. The round date field should only show one date 
  • Game time - should be displayed in 12 hour time with AM or PM next to the time. eg: 12:30PM 

Update fixture to reflect changes

Make necessary changes to the file to reflect the changes in your fixture. 

Scenario - remove a team and replace them with a bye

  • Delete the team being removed from the file. If they were the away team replace them with the word BYE in the away team column. If they were the home team, copy and paste the away team into the home team column and add the word BYE in the away team column. Delete the playing surface, game date and time to the right of the word BYE

Scenario - add a team to the fixture 

  • If the team you wish to add to the grade is unallocated, copy the team name from the fixture legend and add them into the fixture upload file. This will allocate the team to the grade and fixture games to the team. 
  • If the team is in another grade, then both grades will need to be added to the same fixture upload file. The first grade should fixture a round without the team and the second grade should fixture a round with the team in it.

Scenario - swap teams between grades

  • Add all grades impacted into the same fixture template file
  • Copy and paste teams into the correct grades in the file and update all games impacted 

Upload fixture template file 

  • Once happy with the fixture, save a copy of the fixture upload file as a csv. 
  • Select Add Custom Fixture from the fixture upload page 
  • Upload fixture and Generate. If the file has any errors, the system will list which cell the error is in. Resolve any errors and upload again. 

Things to note

  • All games in a round must be in 'upcoming' in order to make changes via fixture upload 
  • Finals must not be generated. Finals fixtures can be deleted and added back in once the file has been uploaded
