Overview
The temporary block feature gives administrators a reversible way to prevent a participant from being selected in lineups, team sheets, and electronic scoring — without cancelling their registration or suspending their entire player profile.
Blocks are applied at the individual registration level. This means you can block a participant's coach registration while their player registration remains active, and blocks do not carry across to other competitions, organisations, or future seasons.
When a participant is blocked, a blocked badge appears wherever their registration is visible across the Admin Portal, the PlayHQ app, MyTeams, and eScoring. All block and unblock actions are recorded in the participant's audit trail and are visible across the organisation hierarchy.
💡 Tip: Block vs. suspension A block is the right tool when you need a temporary, reversible hold at the registration level — for example, an outstanding compliance check or a minor disciplinary matter. A suspension is more appropriate for formal disciplinary outcomes and applies across the participant's profile.
Blocking a participant
Follow these steps to apply a temporary block to a participant's registration:

Navigate to the participant's registration
From the Admin Portal, search for and open the relevant participant. Locate the specific registration you want to block.

Select Block
Click the Block option on the registration tile. A block confirmation modal will appear.

Enter a reason
Enter a mandatory reason for the block in the free-text field (maximum 200 characters). This reason is recorded in the audit trail and is visible to administrators across the hierarchy.

Set child organisation permissions (if applicable)
Use the permission toggle to control whether organisations below yours in the hierarchy are permitted to remove the block.

Confirm the block
Click Block to confirm. The participant's registration is now in a blocked state.
Once blocked, the participant cannot be added to lineups or team sheets, and will be removed from any existing future lineups they are already part of. The blocked badge will appear across the platform wherever that registration is visible.
Unblocking a participant
To remove a block from a participant's registration:

Navigate to the participant's registration
From the Admin Portal, locate the participant and open their blocked registration.

Select Unblock
Click the Unblock option on the registration tile. An unblock confirmation modal will appear.
⚠️ Important: You may not have permission to unblock If the block was applied by a higher-level organisation that restricted unblocking to specific org types, the Unblock option will appear in a disabled state. Contact the organisation that applied the block to request removal.

Enter a reason
Enter a mandatory reason for the unblock in the free-text field.

Confirm the unblock
Click Unblock to confirm. The registration returns to its normal state, the blocked badge is removed across all areas, and the participant can be added to lineups and games.
Important considerations
Impact on lineups and team sheets
Blocked participants cannot be added to lineups, team sheets, or eScoring selections.
Scope of a block
A block applies only to the specific registration it is placed on — it does not affect other registrations held by the same participant (for example, a different sport, competition, or licence type). Blocks do not carry forward to future seasons or new registrations, and do not travel with the participant in a transfer or season permit.
Audit trail
Every block and unblock action — including the reason, the administrator who performed it, and the date — is recorded in the participant's audit trail. This is visible across the full organisation hierarchy, regardless of which org applied the block.
Notifying parties involved in a block
There are no automated notifications when a block or unblock is applied. It is recommended that administrators manually notify the affected participant and any administrators in child organisations so they are aware of the block and the reason for it, where appropriate.
Frequently asked questions
Who can block a participant? Any administrator with registration management permissions can apply a block.
Does blocking a participant cancel their registration? No. A block is a separate state that sits on top of the registration without changing the underlying status. The registration remains active (or pending/cancelled, if it was already in that state), and still counts toward registration capacity.
Can I block a participant who has a pending or cancelled registration? Yes. A block can be applied to a registration regardless of whether it is in a pending, active, or cancelled state.
Will the participant know they have been blocked? The block is visible to administrators only. Participants do not receive an automated notification when a block is applied.
Can a lower-level organisation remove a block I applied? This depends on the permission setting you selected when applying the block. If you restricted unblocking, lower-level organisations will see the Unblock option in a disabled state and will need to contact you to have the block removed.
Does a block carry over if the participant transfers to another club? No. Blocks do not transfer with the participant in a transfer or season permit scenario.
What is the difference between a block and a suspension? A block is applied at the individual registration level, is reversible, and does not appear on the participant's profile history in the same way as a suspension. Suspensions are applied at the profile level and have broader impacts across competitions and organisations. Use a block for temporary holds; use a suspension for formal disciplinary outcomes.
How do I find a list of all blocked participants in my organisation? Blocked participants are indicated in participant reports with a Restriction column. Filter or review this column to identify registrations with an active block.
