This article describes how a club admin can set up and share a registration link for a shared program created by a parent organisation.
What is a shared program?
A shared program is created and managed by an organisation above you, such as your province, State or national body. Shared programs may include Auskick, Net Set Go, Cricket Blast, Aussie Hoops or Rugby Canada 12 week membership.

Steps to Create a Shared Program Registration Link
- Log in to the PlayHQ admin portal and select Programs from the main navigation menu on the left-hand side.
- You will see any programs you have been invited to by your parent organisation. Select the relevant program, then open the season you wish to create a registration link for.
-
Select Groups to set up any groups within the program. Groups can be used to organise participants and apply different fees at registration.
Visible groups — displayed on the registration link and selectable by participants.
Hidden groups — only visible to administrators and will not appear on the registration link.
- Select Registration and follow the prompts to configure your registration link. You will be able to view any inherited fees set by your parent organisation, add your own club fees, and set different fees for different groups if needed.
- Add any registration limits for your program under Registration>Registration Limits. Your registration form will no longer be available once your limit is full.
- Once you are happy with your settings, save your registration link and share it directly with your participants.
Rugby Canada: Setting Up a 12 Week Non-Contact Membership
Important: This section applies to Rugby Canada clubs only.
To set up a 12 week non-contact membership, follow the same steps above with the following in mind:
- When selecting your program, make sure you select the 12 Week Non-Contact program that has been shared down to you from your province.
- For clubs running multiple 12 week programs, use Groups to manage these within the one program. You can use the group visibility settings to control when each program becomes available for participants to register — set a group to Visible when you are ready to open registrations, and Hidden when it is not yet available.
