Dashboards are available to organisations with 20+ registrations. All admins within qualifying organisations can view and interact with the dashboards.
Dashboard data refreshes approximately every 2 hours. Each data visualisation can be exported as CSV or Excel files.
Getting started
Dashboards gives you the data you need to run your sporting organisation. Instead of counting registrations manually or guessing at trends, you can see exactly what's happening with your membership, finances, and competitions. Tools such as the Fixtures dashboard make routine administrative tasks faster.
Quick start
Log in to the Admin Portal.
Select Dashboard from the left-hand menu.
Select the dashboard you want from the available options.
Apply filters to focus on specific seasons, competitions, groups, or date ranges.
Using filters
Season filters — compare this year to last year, or look at historical trends.
Competition filters — focus on specific competitions or age groups.
Gender and role filters — understand your participant demographics.
Date ranges — look at peak registration periods or specific time frames.
Chart options
Every chart has a ⋮ menu in its top-right corner with a few extra tools:
Ask a follow up question — ask AI about that specific chart in plain language (for example, "why did this spike in July?"). It can drill into a subset of the data, re-group it, or summarise it for you, without leaving the dashboard.
Download — save that chart on its own, as a CSV, Excel file, image, or PDF.
Alert — get notified by email when the chart's data crosses a threshold you set — for example, when registrations for a competition have increased.
Schedule delivery — have that chart sent to you or your committee automatically on a recurring basis, rather than checking the dashboard yourself.
Explain — ask AI to generate a plain-language summary of what the chart is showing. You can even draw over a chart to indicate what the AI should analyse
📈 Overview
The homepage — an instant snapshot of the number of people registered to your organisation by season. It's the first view you'll see in the Dashboard section.
What you'll see:
Unique Participants — a count of unique participant profiles, so the same person isn't counted twice across roles, competitions, or programs.
Total Registrations — a count of all registrations in your organisation.
Hyperlink navigation — each competition and program is listed separately; select one to go straight to that season.
Smart filtering — apply gender and role filters to break this view down by participant group.
Note: these counts exclude cancelled and pending registrations, for accurate reporting.
📊 Registrations
Registration trends and patterns over time — a deep dive into your registration data, participant demographics, and where your members live.
Use this dashboard to plan next season's competitions and programs, time your registration opening and marketing campaigns using Posts, set registration fees, prepare for AGMs, demonstrate growth to potential sponsors, or support a facility upgrade or grant application.
What you'll see:
Flexible date filtering — custom date ranges, or quick options like "month to date" or "last 12 months".
Advanced filters — registration status, roles, age groups, genders, and specific competitions or programs.
Weekly registration trends — registrations by week, based on your selected filters.
Activity breakdown — registration counts across each of your competitions and programs.
Demographic analysis — gender and age breakdown charts.
Participant map — a heatmap of registrations by postcode, so you can see where your members live and plan activities accordingly. Zoom in with your mouse to focus on your catchment area — the map doesn't auto-pan.
Historical comparisons — registration trends across multiple years, to identify peak periods and patterns.
🏆 Fixtures
An overview of game scheduling and completion status — useful for spotting games that haven't been finalised and need admin attention.
What you'll see:
Historical games — completed fixtures and their results, for reviewing past rounds.
Upcoming games — scheduled games with time and venue, with further filtering options.
E-scoring — Record of games that were electronically scored.
Game change requests — requests to reschedule or change game details, their status, and who submitted them.
💰 Finances
Tracks financial performance and transaction patterns, so treasurers and financial administrators can monitor cash flow, understand revenue sources, and manage payout expectations.
What you'll see:
Transactions — transaction volume and value over time, to track cash flow through the year.
Payouts — a calendar reconciling your gross sales to the amount deposited into your bank account, showing payout date, status, and amount.
Refunds — refunds raised across your organisation, with amount, reason, and approval status.
Instalments — scheduled instalment payments, their due dates, amounts, and current status.
Shop — Orders placed through your shop, including product, quantity, and pricing.
📢 Referrals
Shows who's bringing new participants into your sport — visibility into organic growth and your strongest advocacy networks.
What you'll see:
Top referrers — the members and clubs driving the most new registrations.
New vs returning participants — whether referrals are genuinely growing your membership base, not just moving people between teams.
Connection mapping — participant relationships, useful for team formation and group placement.
Flexible filtering — date range, registration status, participant role, or specific competition/program.
Use these insights to see which competitions and programs drive word-of-mouth growth, identify your most effective advocates, and thank the people growing your sport.
🔄 Retention
Identifies participants from last season who haven't yet registered for the new one — so you can reach out before they decide to go elsewhere.
What you'll see:
Season comparison — select any two seasons (a source and a target) to compare.
Participant status — each participant is categorised as Returned, Not Yet Returned, or New.
Flexible filtering — compare the same competition across seasons, or track movement between programs and competitions.
Actionable insights — focus re-engagement effort on the "Not Yet Returned" group.
Contact information — download participant details for targeted follow-up.
For participants who've moved to a different club or association, use the Transfers Report rather than Retention — Retention tells you who hasn't come back, not where they went.
Frequently asked questions
Why don't my numbers match what I expected?
Data also refreshes approximately every 2 hours, so very recent changes may not appear yet. For 2024 and earlier seasons, some sports had multiple accounts per participant — factor this in when reviewing historical participation numbers.
How do I compare this year to last year?
Most dashboards have a season filter at the top — select both this season and last season, then click Apply to see them side by side. On the Retention dashboard specifically, choose your previous season as the source and your current season as the target, to see exactly who's returned, is new, or hasn't yet returned.
We run juniors through to seniors — how do I see just our junior participation trends?
Use the age group and competition filters at the top of the dashboard.
When should I look at these dashboards?
Registrations, before planning next season. Retention, during registration periods. Finances, monthly.
How do I share this with my committee?
Export any chart or list as an Excel or CSV file, or take a screenshot of a dashboard view to include in a report or presentation.
