Transfers Auto-Approval
Organisation auto-approval
Organisations have the ability to indicate whether transfer requests assigned to their organisation for approval are automatically approved by the system. This is configured within the transfers tab.
The following rules are applied:
-
An association or admin body’s approval will be auto-approved if they are:
-
the ‘Source Association’ and not the ‘Destination Association’ on the request and their organisation’s transfer ‘Outbound’ automatic approval setting is enabled; OR
-
the ‘Destination Association’ and not the ‘Source Association’ on the request and their organisation’s transfer ‘Inbound’ automatic approval setting is enabled; OR
-
both the ‘Source Association’ and ‘Destination Association’ on the request and their organisation’s transfer ‘Internal’ automatic approval setting is enabled.
-
-
A club’s approval will be auto-approved if they are:
-
the ‘Source Club’ on the request and their organisation’s transfer ‘Outbound’ automatic approval setting is enabled; OR
-
the ‘Destination Club’ on the request and their organisation’s transfer ‘Inbound’ automatic approval setting is enabled.
-
-
A club/association’s auto-approval settings are based on their settings at the time when the transfer request is submitted.
Approval time limits
Admins of competitions are able to set time limits for organisations to respond to a transfer request. If they don't action the approval in time, the request is auto-approved to prevent participants from being held up.
Within a Global Transfer setting (AFL), these time limits are hard-coded.
Within a Local Transfers setting (BV), these are configured within competition settings.
The following rules apply:
-
All approvals are due by 11:59:59 PM on the due date.
- Please note in January 2023 this was changed to All approvals are due by 12:01:00 AM on the due date. Please click here for more information about auto approvals
-
For the source club, the due date is based on the date when the request was created plus the configured approval duration in days.
-
For subsequent approvers, the approval date date is based on the date when the previous approver approved the request plus the configured approval duration in days.
-
A request is only auto-approved if the overall request is pending and the organisation’s approval status is pending.
Club Admin access to game day
For many sports, the club admin plays a crucial role in ensuring competitions run efficiently and accurately. To assist in their role, we have introduced the Game Day menu item, allowing club admins to manage their lineups and enter statistics. Associations can give club admins further access to enter game and period scores and permissions to edit opposition lineups (when the game goes into a pending status).
View the following table for a summary of what a club admin can access.
Role | Grade setting-Allow clubs to enter scores via admin portal (ON or OFF) | Can club admin enter game or period scores? | See other teams lineup | Game Status-Upcoming | Game Status-Pending | Game Status-Finalised |
Club Admin-default access (own team only) | OFF | No | No | Can enter own lineup only | Edit lineup and player stats | View only access to own team and scores |
Club Admin | ON-(own team only) | Yes | No | Can enter own lineup only | Edit lineup, player stats and game and period scores | Edit lineup, player stats for own team and game and period scores until lockout period defined by association |
Club Admin | ON-(both teams) | Yes | Yes-when game is pending and finalised | Can enter own lineup only | Edit lineup, player stats for both teams and game and period scores | Edit lineup, player stats for both teams and game and period scores until lockout period defined by association |

Competition and Program Formats
Up until now, only shared programs contained format functionality, which was configured to be the same for each tenant.
Several enhancements have been introduced to extend the formats functionality and allow for tenants to have greater customisation options.
-
Tenants are able to customise which formats display for competitions, shared and local programs.
-
Admins can set formats when creating or editing competitions. If formats exist, they must be selected.
-
Admins can set formats when creating or editing local programs. If formats exist, they must be selected.
-
Admins can configure formats for all existing competitions and programs created prior to this release, however once set, the formats cannot be changed.
-
Admin Body Admins can generate participation reports for specific formats for competitions.
-
Format lists on the organisations page have been updated to reflect all formats available on the tenant.
-
Competition season names are now linked to specific formats. When a format is selected for a competition, only season names linked to that format will be able to be used when creating a season.
