Set Up Payment Details (Stripe Onboarding Form)

Setting up payment details allows organisations to accept payments through PlayHQ. Stripe is used as the Payment Gateway.
Payment details enable organisations to accept registration payments, Membership fees, Association fees and Club fees directly to a nominated bank account.

What you will need to get started

Before you begin, check that you have:

  • the organisation's contact details
  • the organisation's financial details including bank account details, GST status, ABN, NZBN or ACN
  • proof of incorporation (if relevant)
  • an electronic copy of the drivers licence or passport of the authorised representative

Uploading Documentation

Any documentation uploaded must meet the following specifications:

  • The file size is smaller than 5MB
  • The entire document is captured
  • The image is in colour
  • Flash is not used
  • Image is free of reflection
  • Image is correctly orientated
  • The file is a JPEG or PNG 

To set up payment details:

  1. From the menu, click My Organisation > Overview
  2. Click the Payments tab.

  3. Click Submit Payment Details.
  4. Complete the Organisation Details, including whether the organisation is registered for GST.

  5. Select if your Organisation has an ABN or NZBN.
    If Yes, enter the ABN or NZBN and Registered Business Name as it appears on the certification.

    If No, select if your organisation is registered as an Incorporated Association.

    If your organisation is incorporated, enter your Incorporated Association Registration Number and upload your proof.

    Make sure the file you upload complies with the file specifications. Failure to do so may delay opening registrations.

  6. Enter your Nominated Bank Account Details.org.setup.payment.bank.png

  7. Enter the details of the Authorised Organisation Representative.

    We recommend that this person manages the organisation's financial matters. This could be a Treasurer, CFO, Director or Manager.

  8. Upload Photo Identification of the authorised representative's proof of identity. Select Drivers Licence or Passport and follow the instructions. 

    Make sure the file you upload complies with the file specifications. Failure to do so may delay opening registrations.

    If Passport is selected, the image must show the passport details and photo page.org.setup.payment.passport.png
    If Drivers Licence is selected, an image of the front and back of the licence must be submitted as separate files.org.setup.payment.licence.png

  9. Read and accept all of the Terms and Conditions, including the Privacy Policy. These are required for compliance by the payment provider (Stripe) and PlayHQ.

  10. Once all of the mandatory fields are complete, the Submit button will be enabled. Click Submit.

    If changes are required to any account or bank details, please submit a support request.
