The My Organisation section in PlayHQ allows administrators to update key details about their organisation, including key contact information, visibility settings, and Terms and Conditions.
This guide walks you through updating each section in the Details tab. To update your organisation's contact list, see (here).
Accessing your Organisation Details
- Navigate to My Organisation > Overview from the Admin Portal main menu.
- The Details tab will open by default, with additional sections available under their respective tabs.
Updating your Organisation Details
Upload your organisation logo

Locate the Organisation logo section.

Click Upload Image.

Select an image file from your device (JPEG or PNG, max. 5MB, 256x256 pixels).

Click Update & Save at the bottom of the page.
To delete a logo, click Delete Image and either upload a new image or leave it blank.
Update your organisation description

Locate the Description field.

Enter a short summary of your organisation (max. 500 characters).

Click Update & Save at the bottom of the page.
This Description field is not yet visible on public PlayHQ pages or mobile apps.
Update your organisation contact information

Locate the Email and Phone Number and Organisation Website fields.

Enter your organisation's primary email address (required), phone number and full website URL.

Click Update & Save at the bottom of the page.
This contact information will be visible on public PlayHQ pages and mobile apps.
Update your organisation address and visibility on discovery maps

Locate the Address section.

Enter your organisation's geographical location.

Optionally enter Latitude & Longitude for precise mapping.

Choose to set your organisation's visibility on discovery maps to Visible or Hidden.

Click Update & Save at the bottom of the page.
Share your organisation's participation details

Formats: Specify the formats your organisation offers.

Age & Gender: Specify the age range and genders you cater for.

Inclusion Categories: If available - choose applicable inclusion options.

Click Update & Save at the bottom of the page.
This information will be used to power search and filter options on discovery maps.
Set up your organisation's Terms and Conditions

Locate the Terms & Conditions section.

Enter a website URL or text for participants to view and accept during registration.

Click Update & Save at the bottom of the page.
These Terms and Conditions can be optionally displayed when setting up a registration form, for participants to view and accept when registering to your organisation.
(New Zealand only) Add Business Information

If your organisation is based in New Zealand (NZ), locate the ID type and select the GST No. option.

Enter your organisation's GST Number in the Number field.

Click Update & Save at the bottom of the page.
