The registration form and settings covered in this article are used to create a registration form that will be used by all participants registering directly to a competition season.
Follow the steps below to configure the Participant to Season registration form.
Participant to Season registration form
Select the Registration tab from within the appropriate competition season, then select the Set up Form button for the Participant to Season option.
Note: If the registration form has already been set up, select the Manage button to edit the existing form.
Complete the set up of the registration form using the screenshots and table below:

Registration period |
Set a start and end date/time that the registration form will be active (open to be used for registration). If a participant accesses the registration form outside of this time frame, they will not be able to register. |
2 | Registration fees | Details of any applicable Membership, such as the Basketball Victoria Annual Participant Licence fee, will display indicating that players registering will be subject to the rules of the Membership. |
3 | Base registration fees | Set base your (standard) fees that participants will be charged to register for this season. A Player, Coach, and Team Manager can all be charged separate fees. The set fee should be $0.00 (if the registration will be free) or greater than $1.00 (if you wish to charge a registration fee). |
4 | Advanced registration fees | Advanced fees can only be set for Players (i.e. not Coaches or Team Managers). A specific amount (and description that will appear to the participant) can be set for any given age range and gender. A date to calculate the age of the participant must be set, as well, when using advanced fees. If the registering participant meets the criteria of an advanced fee, they will be charged the advanced fee instead of the standard fee. If they meet the criteria of multiple advanced fees, they are charged the cheapest corresponding fee. |
5 | Custom Fields | Custom Fields (questions) will appear here that you have configured for this season. |
6 | Products | Select Products to add to the participant registration form. |
7 | Overview information |
Information added here will be displayed on the overview page of the registration form. A 500 character limit applies to each of the 'Pricing information' and 'Addition information' fields. |
8 | Terms and conditions |
Slide the toggle to its active state to enable your organisation's Terms and Conditions to be viewed on the registration form. To change the terms and conditions, view the instructions in this article. |
9 | Registration form visibility |
This setting allows the registration form to either be visible or hidden on the association's main public PlayHQ Register landing page. Changing this setting to "Hidden" won’t affect or remove the option for a participant to register using the form - it will, however, ensure that the public cannot view the registration link on the PlayHQ.com website. |
To create or update the registration form settings, select Save in the upper right-hand corner.
On successfully saving the registration form settings, the settings will display in a preview tile, and a unique Registration Link for the form is generated. This link can be shared with participants who would like to register directly to the Association for the season.
These settings can be updated at any time by selecting the Manage button.
