Viewing a participant's profile

The participant profile accessed in the Administrator Portal displays information provided by the participant when creating an account and completing their registration.

Only participants can update their details by logging into their PlayHQ Profile Account or by completing a registration. Administrators can only edit the responses to Custom Fields provided by the participant.

View a Participant Profile

To view a participant profile:

  1. From the menu, click Participants.
  2. Use the search fields to find the participant.
  3. Click View on the participant.

There are several sections in a participant's profile. The sections below describe each one.

Registration History

Select the registration history tab when viewing the participant's profile. This section contains the record for each registration completed to your organisation by the participant (or their parent/guardian). Each registration record contains specific details that the participant, or guardian provided during that registration, including:

  • The role the participant registered for
  • The date the participant registered
  • The Organisation / Competition / Season the participant registered to
  • The Date of Birth, Gender, and, if the participant was under 18 years of age, school details provided
  • An option to Cancel a registration if required.

Memberships

Select the membership tab. This section contains the overall status of the participant's relevant sports membership licence, as well as a line item for each membership licence the participant has purchased. Each line item contains the date of purchase, start date, and end date of the licence.

Incidents and Suspensions

All relevant incident information will be displayed including any outcomes. Learn more in Incidents and Suspensions.

Personal Details

On the right-hand side of the participant's profile, an 'About' section will be visible.

This section contains the following details about the participant:

Field Description
First Name and Last Name Participant name

Home Phone

Contact number
DOB

Date of birth

Gender Gender identity

Preferred name

Preferred name, such as a nickname

Address

Where the participant lives

Privacy Settings

Public - indicates that the participants' name appears on public game centres.

Private - indicates that the participants' name will be hidden on public game centres.

Account managed by

Name is displayed if the participant has been registered as a dependant by their parent/carer.

Email address

Shows only if the participant is the account holder

Mobile phone number

Shows only if the participant is the account holder

Actions

Participant Duplicate Management - lets administrators merge user profiles that are related to the same person.

This feature is only available to Super Admins within an Administration Body.

 

Additional Details

Underneath the About section on the right-hand side, the Additional Details section displays. to view the details in this section, click the down arrowhead. This section contains the following:

Parent/Guardian

Underneath the Additional Details section on the right-hand side, the Parent/Guardian section displays only if the participant is a dependant. To view the details in this section, click the down arrowhead. If this section displays, it will contain the following details of the responsible parent/guardian:

Emergency Contact

The Emergency Contact section displays on the right-hand side. It will need to be expanded by clicking on the down arrowhead. It contains the following:

Coaching Accreditation

The Coaching Accreditation section displays on the right-hand side only if the participant has registered as a Coach. To view the details in this section, click the down arrowhead. If this section displays, it will contain the following details:

 

Working with Children (WWC)

The Working with Children section displays on the right-hand side only if the participant has provided these details from registration as a Coach or Team Manager. To view the details in this section, click the down arrowhead. If this section displays, it will contain the following details:
