The below video outlines how a club can set up a competition registration form for an upcoming season. Clubs have the option to set up a Participant to Club registration form or a Participant to Club Team registration form. Further down in the article, you can learn about the differences between the two registration forms and how to set each of these forms up.
Configuring a registration form
A Participant to Club registration form will create one registration link which all participants will use to register directly to your Club for a competition season.
A Participant to Club Team will be used by all participants registering directly to their team for a competition season. A registration link will be created for each individual team.
The steps to create each registration form are the same. Once you have decided which registration form works best for your club, select the Registration tab from within the appropriate competition season, then select the "Set up Form" button for the relevant option.
Note: If the registration form has already been set up, select the "Manage" button to edit the existing form.
Complete the set up of the registration form using the instructions below.
Enter your registration period
Participants will only be able to register during the dates you specify in the fields below. As soon as the registration window opens, participants will be able to access the form (depending on your visibility settings) and register to your organisation.
Set up your club registration fees
Save your club time and money by collecting your fees at the time of registration. PlayHQ offers a range of different ways for players to pay their registration fees making life easier for clubs and participants. Entering a fee will give your participants the option to pay via the below payment methods. No matter which option the participant chooses, clubs will receive the full amount upfront.
Participants can pay using any of the following methods:
- PayPal
- Pay in 4 (pay via instalments using Paypal)
- ApplePay (only visible to participants using a Safari web browser)
- Google Pay
- Mastercard Click to Pay
- Credit / Debit card

Basic Player Fee
If you have one fee for all participants, use this option. Every participant registering will be charged this amount regardless of age, gender or grade.
You can also specify fees for Coach, Team Manager, Volunteers and Medical Officers if required.
Advanced registration fees
If you have more than one fee option for participants, you can set up Advanced Fees by choosing one of our two options outlined below. This will allow you to configure fee options tailored to various circumstances such as age, gender, financial hardship and so on.
Auto-Select Options
Use this option to automatically assign a fee type to the participant based on their age and/or gender.
To charge players different fees based on age and gender, click Advanced Player Fees and select Auto-Select Options.
You will be required to enter a base fee which will be applied to any registering participants outside of the age ranges and genders set.
Enter a date to calculate a players age at, and enter the age range, gender, fee amount and description. PlayHQ will calculate a players age and gender at the time of registration and charge them the appropriate amount.
Manual Select Options
This will give participants the option to choose which fee type they pay at the time of registration.
Enter the options and amounts applicable for your club.
Add Products for your participants to purchase
Add or create any products you wish to sell at the time of registration. This could include on-field apparel, supporter merchandise, fundraisers or social memberships. Click here to find out more about selling products on PlayHQ.
Enter Additional Information
These will be visible to participants when they open the registration form. You can add extra information about your pricing and general information. This information will appear on the first page of registration.
Control your form's visibility
This setting allows the registration form to either be visible or hidden on the club's main public PlayHQ Register landing page.
When your registration form's visibility is set to "Hidden", it prevents people from the general public being able to access your form. Your participants can still register through the form, but you'll need to send them the link so they can access it. See Registration Links below for more information.
If your form's visibility is set to "Visible", your form will appear on your club's main public PlayHQ landing page as soon as the registration window opens, making it accessible to everyone.
Save your form
When you're finished creating or updating the registration form settings, select 'Save' in the upper right-hand corner.
Registration Links
Participant to Club
Once saved, the settings will display in a preview tile, and a unique registration link (URL) for the form is generated. This link can be shared with participants who would like to register directly to the Club for the season. If your form is set to Hidden, sharing the link is the only way to make the form accessible to your participants.
Participant to Club Team
Once saved, a unique URL for each team is created. To access the unique link for a team, go to the Team Detail page of the team in the relevant competition season. This link can be distributed to any participants who need to register directly to that team.
