PlayHQ allows you to claim and merge duplicate profiles that may already exist in the system. This typically happens when multiple accounts have been created for the same person, or when profiles were imported from legacy platforms.

What is profile claiming?
Profile claiming allows PlayHQ account holders to merge duplicate profiles that already exist in PlayHQ. When profiles are merged, all registration history, player statistics, and transfer records are combined.
Common reasons for duplicate profiles include:
- Creating new accounts when one already exists.
- Multiple account holders (e.g. parents) registering the same dependant (e.g. children) to their accounts.
- Dependants creating a personal account and profile (e.g. children turning 18 years old).
- Participant profiles already existing that were imported from legacy platforms.
Profile matching criteria
PlayHQ searches for duplicate profiles based on matching first name, last name, gender, and date of birth.
Duplicate profiles will not be visible if:
- The profile to claim is a primary profile, and the profile logged into is a dependant profile.
- The profile to claim has had admin access at any time.
Claiming a profile via Find My Profiles
- Login to PlayHQ and click My Account in the top right corner
- Scroll down and click Get Started under Find My Profiles
- Select the profile you want to search for duplicates of, or select Find a profile to search for one that is not listed
- Confirm your personal details are correct (First Name, Last Name, Date of Birth, Gender). If these details are incorrect please contact your sport to request your details be updated.
- Enter the sporting organisation where you believe a duplicate profile exists and click Search.
- If a matching profile is found, verify ownership via email or mobile verification
- Enter the verification code sent to the matched profile's contact details
- Click Continue to complete the merge process
Verification required
You must have access to the email address or mobile number associated with the duplicate profile to complete verification. If you don't have access, click Contact Support for assistance.
What happens after claiming?
Once a profile is successfully claimed, PlayHQ automatically merges:
- Registration history across all sports
- Player statistics
- Any incidents and suspension history
- Transfer history and club affiliations
- All other details and records
The merged profile and details will appear within your PlayHQ account immediately after the claiming process is complete.
Support to claim a profile
If you cannot verify a matching profile through Find My Profiles (for example, if it has an unverified email or mobile number you don't have access to), contact your sport's support team for assistance.
When requesting support, please include the following information:
- Your full name and current contact details
- Profile details: Are you registering yourself or a dependant? Include full name, date of birth, and gender
- Current contact information: Email address and mobile number in your profile
- Last known registration: When and where the matching profile was last registered
- Additional context: Why you cannot verify the profile yourself
Last known registration example:
"Sarah was last registered in December 2023 to the Blary Tigers in PJFL for the Spring 2024 season."
Additional context example:
"I cannot verify the profile because I no longer have access to the email address - it was from my previous workplace. The email was sarah.smith@oldcompany.com"
